This tutorial builds one complete MailerLite journey: a visitor requests a care guide, joins a dedicated subscriber group, and receives three useful emails over five days. AI helps draft the copy from facts you provide; MailerLite handles the actual form, subscriber state, and delivery.
A MailerLite form-to-email workflow delivers the guide and the two reviewed follow-ups on the intended schedule, while preserving unsubscribe behavior.
Before you start
- A current MailerLite account with the form, workflow, and sending allowances this setup needs; Classic accounts use different documentation.
- A completed care guide at a working public download URL and a verified sending address.
- Access to the page where the embedded form will appear and the appropriate sending-domain settings.
- Three test addresses you control: one for the initial form check and two fresh addresses that have never joined Care guide for the active workflow tests. Prepare a clear description of the marketing emails subscribers will receive.
Expected behavior of the MailerLite care-guide workflow
Illustrative sample: adapt the business details before using it.
Start with this input
Offer: a printable care guide for a handmade fabric bag. Entry: confirmed signup on the care-guide form using a fresh address after the workflow is activated. Message 1: deliver the guide. Message 2: explain spot cleaning after two days. Message 3: show one relevant accessory after three more days. Use a different fresh address to test unsubscribing after delivery.
What a useful result looks like
The test subscriber receives the working guide link, then the scheduled care advice and relevant optional offer. A second test subscriber who unsubscribes after delivery receives no later promotional messages. Record actual timestamps and link results. The timing is adjustable for your business.
Inside the software
- Forms → Embedded forms → Create form; select the group used by the journey.
- Automations → Create workflow; choose the group-membership trigger.
- Add email and delay actions, enter sender information, and design each message.
- Complete the workflow, activate deliberately, and inspect subscriber activity.

Create the care-guide form and its subscriber group
Open Forms, choose Embedded forms, and create a form named Care guide signup. Select the embedded type and associate it with a dedicated group named Care guide. Keep the visible form concise: email, the promised resource, and clear information about follow-up. Review the form's privacy and permission settings, confirmation experience, and success message. Save the provider-generated embed code and install it on the intended page without changing its functional fields.
Draft three emails from an approved source pack
Give ChatGPT or Claude the real guide URL, product facts, brand voice, and the purpose of each message. Use the copyable prompt below. Ask for missing facts to be listed separately. Review every claim and replace placeholders before pasting the messages into MailerLite. The sequence should deliver the guide, explain one care technique, and offer one relevant next step. Verify your sender through MailerLite's current account instructions before sending.
Create a group-triggered workflow
Open Automations and create a new workflow. Choose Joins a group and select Care guide as the trigger group. Keep repeat entry disabled for this one-time welcome journey. If you use an exclusion group, define why subscribers enter it and test that rule. A group-based trigger is useful when multiple forms should feed the same journey; do not add overlapping triggers simply to make the diagram look complete.
Add the delivery message and real delay steps
Add a Send email action, enter its subject and sender details, and open Design email. Paste and format the reviewed delivery message. Return to the workflow and add a two-day Delay before the care-tip email, then a three-day Delay before the optional next-step email. These timings are example choices. Without delay steps, consecutive emails can send together, so inspect the complete route rather than relying on numbered message names.
Preview the published form and every email
Open the actual signup page on a phone, review the promise, and confirm the guide opens without your account login. Send previews using addresses you control. Check the fallback when no first name exists, image readability, the reply address, and the unsubscribe link. Keep the workflow limited to test access while validating. A visually correct email preview does not prove the form, group trigger, and later messages are connected.
Activate deliberately and run two subscriber journeys
Complete every workflow step and activate it. If MailerLite asks about eligible existing subscribers, choose only new subscribers for this new test unless you intentionally planned an existing-audience send. Submit the published form with a fresh test address that has never joined Care guide; do not reuse the preliminary form-check address from Step 1. Follow its progress in automation activity. Use another fresh controlled address to unsubscribe after delivery. If testing requires shorter delays, use a separate test copy and restore production timing before public promotion.
Diagnose the first real results before expanding
Record confirmed signups, delivery-link clicks, useful next-step clicks, and any purchases separately. Review failed or canceled automation entries and unexpected duplicate messages. Improve the resource promise or a weak message before adding branches. Document the form, group, workflow name, sender, and guide URL together so a future change does not break an invisible dependency. Recheck the live journey whenever any of those elements changes.
The example setup, field by field
These settings belong to the example in this guide. Adapt them to your own workflow.
| Field | Example setting | Why it matters |
|---|---|---|
| Form name | Care guide signup | Recognizable internal label for the published form. |
| Subscriber group | Care guide | Keeps the signup source and automation trigger aligned. |
| Trigger | Joins a group → Care guide | Starts this specific welcome journey. |
| Repeat entry | Disabled for this example | Avoids restarting the one-time sequence unintentionally. |
| Message timing | Delivery → 2-day delay → care tip → 3-day delay → relevant next step | Makes the interval explicit in the workflow. |
| Existing subscribers at activation | Only new subscribers for the initial test | Prevents an unintended send to an existing audience. |
AI drafting prompt
Draft three welcome emails using only the source facts below. Audience: [who requested the guide] Resource URL: [working guide URL] Verified product and care facts: [paste facts] Brand voice: clear, friendly, and concise. Email 1: deliver the promised guide. Email 2: explain one useful technique from the guide. Email 3: offer one relevant next step: [approved offer or tutorial]. For each email return a subject, preview text, body, and one main link. Do not invent claims, reviews, discounts, deadlines, or product details. Put missing information in a separate Questions to resolve section. Do not include real subscriber data.
Welcome-email skeleton
Subject: Your [resource name] is ready Thanks for requesting [resource name]. Download it here: [verified URL] Start with [one specific useful section]. It will help you [accurate, modest outcome]. Over the next few days, I will send [the follow-up described on the signup form]. [Sender name] Keep the email platform's required unsubscribe and sender details in the final message.
The interface path and documented behavior were checked against MailerLite's official help pages. The sample campaign, copy, and test plan are original editorial examples; no live-account performance claim is made.
Troubleshooting
The form submits but no email arrives.
Confirm the subscriber's status, the form's assigned group, the active workflow trigger, and the subscriber's automation activity. Inspect the whole chain before changing copy or sending another manual email.
All three messages arrive together.
Add actual Delay steps between email actions. Numbering the emails or describing a schedule in their text does not create a sending delay.
The same test address will not restart.
A group member cannot rejoin a group they already belong to, and repeat entry is disabled in this example. Use a fresh controlled address or deliberately manage test membership; do not enable broad repeat sending merely for convenience.
A copied workflow sends an unexpected second welcome.
Check whether both copies are active and use the same trigger. MailerLite treats duplicates as separate workflows, so prior completion of one does not necessarily prevent entry into the other.
Common mistakes to avoid
- Importing past customers into marketing without a suitable permission basis.
- Turning on both native store messages and a third-party sequence that sends the same reminder.
- Judging performance only by list size or open rate while ignoring useful actions and unsubscribes.
How to know it helped
- The offer is delivered reliably and the unsubscribe path works.
- You can distinguish signups, qualified clicks, purchases, and actual money received.
- The sequence can be maintained without daily manual sending.
